Bulk Mail Information

Bulk Mail will almost always have an indicia on it. Even thought the indicia says that the postage is paid, it isn't until paperwork is submitted with the mail to the Palmer Twp. Post Office. So that means you can't just take an envelope or post card that has the indicia on it and throw it in a mail box. If this is done, the post office can consider it misuse and the college could lose its permit.

Post Cards

Minimum size
3.5 X 5
Maximum size
4.25 X 6
Preferred size
4.25 X 5.5

In order to qualify for post card rate, the card must fall within these sizes. Otherwise the card will go for $0.42 instead of $0.27

We prefer the 4.25 X 5.5 size for a post card because it fits perfectly as 4 up on an 8.5 X 11 sheet of paper.

 

Letters

The maximum size for a letter 1oz or less is 6 1/8 X 10 1/2. Anything over that size will be incur a surcharge on top of the $0.42 first class rate, but only if it's 1oz or less.

 

Self Mailers

When designing your self mailer, it is important to remember that the Post Office prefers to have the fold at the bottom and the opening at the top. Also, the minimum paper weight for a self mailer is 60lb. and it would need to have a tab at the top to keep it closed.

 

Mailing Lists

The easiest list format for us is an Excel Spreadsheet with headings at the top. The headings should be as follows:

Alumni ID (If Applicable)

Combined Mailing

Combined Mailing 2

Name Hierarchy

Spouse

Pref Address Business Name

Pref Address 2

Pref Address 1

Pref Address

City

State

Zip Code

Nation (only if foreign)

Everything needs to be kept separate and uniform, so please do mix information in the separate fields. Example: You shouldn't put a business name in any field except Pref Business Name.

Combined Mailing is both the alumni and their spouse on one line. Example: Mr. & Mrs. John Q. Smith

Name Hierarchy consists of: Prefixes / titles, first name, middle name or initial, last name and suffix (if applicable)

Pref Address should Always and only be used for the actual street address. (ex. 730 Sullivan Rd.)

Pref Address 1 and 2 are for other address info such as Apt. numbers, suites or building names for example.

Please, please, please do NOT put City, State and Zip Code in one field because our software will not separate this information and your mail might be returned to you by the U.S. Post Office.

Notice: Canada is not part of the United States, therefore if you place Canadian Provinces in the State field, you MUST ALSO Place Canada in the Nation field.

Do not place city codes for foreign addresses in the Zip Code field. If a city code is similar to a U.S. Postal Zip Code, our software will change the address to the city that matches that Zip Code in the USA, and that's where your mail will be delivered.

The Post Office reads the address from the bottom because that is the most important information. The name is the least important.

A correct Address looks as follows:

Any deviation from this format will not allow you to recieve postal discounts.
